A Bengaluru NGO that skips Darpan registration never receives a rejection letter. It finds out later, at the worst possible moment. The FCRA form will not open without a unique ID. The corporate CSR manager who asked for a Darpan number stops replying. A central grant window closes with the application half built.
The fix is small work, and it is rarely the portal that holds a Bengaluru file up. It is the certificate sitting behind the portal, issued by whichever Karnataka authority registered you, and whether every line on it matches what you type in.
Which decision has to be settled before the Darpan form opens?
Your legal form, and the certificate that proves it. Darpan accepts three: a society, a public charitable trust, and a section 8 company. Those three come from three different places here, and an applicant who has not settled the question arrives at the portal holding the wrong paper.
A Bengaluru society is registered under the Karnataka Societies Registration Act, 1960. Seven people sign it, every one of them above the age of eighteen. The office that issues the certificate is a District Registrar of Cooperative Societies inside the Department of Cooperation, and applications go in at societyreg.karnataka.gov.in.
A Bengaluru trust starts with a deed. The deed is stamped under Article 54 of the Karnataka Stamp Act and presented at the jurisdictional sub registrar on Kaveri Online Services. The state keeps no trust register at all, so what you hold afterwards is a registered document rather than a certificate of incorporation.
A Bengaluru section 8 company has no state layer whatever. It is incorporated on MCA V3, sits with ROC Bengaluru and carries the KA state code in its CIN.
Who is asking us for this right now:
- The family behind a restaurant and cloud kitchen brand in Indiranagar, whose surplus meals programme grew into a trust and now needs a Darpan ID before a corporate donor will release anything.
- The same group's second outlet is in Jayanagar, which sits in a different city corporation from the first, so they no longer assume that two registrations share one address.
- A D2C fashion label in Jayanagar funding a weaver training society, wanting Form CSR-1 and the Darpan ID finished inside the same month.
- Founders in Malleshwaram who incorporated a section 8 company and assumed the certificate of incorporation closed the paperwork.
What paperwork does the Darpan form ask a Bengaluru NGO for?
Put these together before anyone opens the portal:
- The registration certificate from the Karnataka authority that registered you, complete and legible on every page.
- The PAN of the organisation itself, not the PAN of a trustee, a member or a director.
- Memorandum and rules for a society, the registered deed for a trust, or memorandum and articles for a section 8 company.
- PAN and Aadhaar for every office bearer you enter, matched against the governing body list you filed.
- Bank account details in the organisation's own name, with a cancelled cheque or a recent statement.
- Address proof for the Bengaluru premises you are declaring as the office.
Two things trip Bengaluru applicants up. The first is the name. A society certificate carries the exact string the District Registrar approved, and a shortened working name will not clear the check. The second is the address. The memorandum states where the registered office sits, so if the NGO moved from Malleshwaram to Koramangala and never filed that change, the portal entry and the certificate disagree.

Which registrar and portal actually receive the filing?
The Darpan application itself goes nowhere near this state. It sits on the NITI Aayog portal and no local officer decides it. Everything that is genuinely local is either upstream of that application or downstream of it.
Upstream is the certificate. ROC Bengaluru is the single registrar for the whole of Karnataka, so a section 8 company files there whether its office is in Whitefield or Jayanagar. A society answers instead to whichever District Registrar of Cooperative Societies covers the district its registered office sits in. A trust deed answers to the sub registrar the premises fall under.
One point deserves saying plainly, because competitor pages get it wrong in both directions. The Charity Commissioner machinery under the Bombay Public Trusts Act belongs to the districts Karnataka inherited from the old Bombay State in the north west of the state; it is not the route a Bengaluru trust takes.
Downstream is tax. A jurisdictional officer signs off 12AB registration and 80G approval, and that officer is the Commissioner of Income Tax (Exemptions). What still lands on a Bengaluru NGO after the ID arrives?
Holding the unique ID does not close the file. Four things usually follow within a month or two:
- Profession tax. The state runs an enrolment certificate for your own liability and a registration certificate for your employees, both on e-Prerana at ptax.karnataka.gov.in, with enrolment at ₹2,500 a year and a statutory payment date of 30 April.
- Payroll deduction. An employee drawing ₹25,000 and above in a month is inside the net. The deduction runs ₹200 monthly for eleven months and ₹300 for February, which is ₹2,500 across the year.
- The Karnataka Labour Welfare Fund names societies and charitable trusts expressly. Since 7 January 2026 its threshold is ten or more persons in an establishment that carries on business or trade. Employees contribute ₹50 and the employer ₹100, taken out of December wages and paid by 15 January.
- Annual filings. A society files its governing body list and its audited balance sheet within fourteen days after the annual general meeting. Its accounting year closes on 31 December unless the Registrar has given previous sanction for another date.
Form CSR-1 on the MCA portal and Forms 10A or 10AB on the income tax portal usually follow in the same quarter, and they are easier to sequence once the Darpan profile is live.
