The document that decides a Digital Signature Certificate application is the applicant's PAN, and the detail that decides how fast it clears is the mobile number sitting on the Aadhaar record. When the name on PAN, the name on Aadhaar and that number agree, video verification passes on the first attempt and the token is with you in 1 to 2 days. When they do not agree, the file comes back, and the ROC Pune deadline that prompted the application arrives before the certificate does. So the identity trail is the first thing we check, not the last.
Which class of certificate do you have to settle first?
Class 3 is the only class government portals accept now, so the real choice is narrower and more practical than the internet suggests. You are deciding whose name the certificate carries.
- An individual certificate in a director's own name, for MCA forms, income tax returns and GST filings
- An organisation certificate in the entity's name, used where the filer or the bidder is the company itself
- A DGFT certificate for an exporter whose licence and benefit applications route through the Regional Authority at Pune
- A document signer certificate, for a business that signs invoices in volume rather than forms one at a time
Validity is the second decision, one year or two. Most Pune clients take two years, because a renewal falling in the middle of a filing window costs more in disruption than it saves in fee. A company being incorporated in Hinjawadi needs a certificate for each subscriber and each proposed director, not one for the company.
What does a Pune applicant have to put together?
The list is short, and the rejections almost always sit in the details rather than in the documents.
- PAN, in the exact spelling the certificate will carry for the next two years
- Aadhaar, with a mobile number that still receives its one time password
- A recent photograph and an email address that belongs to the applicant alone
- For an organisation certificate, the entity PAN, its registration proof and a board authorisation naming the signatory
For a company being formed, keep the registered office address proof in the same folder, even though the Certifying Authority never asks for it. That address decides that your forms go to ROC Pune. It decides the state code MH that will sit inside your CIN. It also decides which Facilitator takes your Shops and Establishments filing later. A Kharadi office and a Chakan unit hand over identical papers for the certificate and then part company at the very next step.
What does a Digital Signature Certificate cost in Pune?
Pricing starts at ₹1,999 and moves with the class, the validity and the number of people who have to sign. None of it is a municipal or a state levy. The certificate comes from a licensed Certifying Authority, so a Pune quote and a quote anywhere else in Maharashtra rest on the same components.
| What you are paying for | Where a Pune applicant usually lands |
|---|---|
| Class 3 certificate, two year validity | From ₹1,999 for a single applicant |
| USB token, where you do not already hold one | Quoted with the certificate, never billed afterwards |
| Second and third signatory at incorporation | Priced per person, applied for on one day |
| Video verification and document check | Part of the fee, not a separate line |
| Renewal taken before expiry | Quoted afresh, on the same 1 to 2 day run |
A Hinjawadi startup registering with three directors buys three certificates. A consultant in Kothrud filing her own returns buys one. Ask for the count before you compare two quotes, because a price per certificate and a price per company are not the same number.
How the application runs, step by step
- We read PAN, Aadhaar and the mobile record against each other and fix mismatches before anything is submitted.
- The application goes to a licensed Certifying Authority, with your photograph and contact details attached to it.
- You complete a short video verification from your phone, working from a script we send you in advance.
- The certificate is issued and written to the token, which is couriered to your Pune address.
- We register it on the MCA portal, sign one test form, and close the job only after that signature holds.
Which office issues it, and which Pune office reads what you sign?
The Certifying Authority is licensed by the Controller of Certifying Authorities, and there is no counter in Pune to visit for it. Nothing about the issue is local. Everything the signature is then used on is.
A company whose registered office is in Pune district files with ROC Pune, which MCA lists as a registrar in its own right, with its own Registrar and contact details. Maharashtra has had four registrars since 16 February 2026, and that restructuring left ROC Pune untouched, so a Pune company was not re mapped and had nothing to do about it. Above the registrar sits the Regional Director, Western Region Directorate II at Navi Mumbai, which takes every Maharashtra district outside the two Mumbai ones. A signed application for a registered office move is read there, not in the city you filed it from.
What else will ask a Pune business for that signature?
Most of what follows a new company is state or central rather than municipal, and the token turns up in each of them.
Maharashtra levies profession tax under its Act of 1975, and a company incorporated now takes both certificates at incorporation. PTEC is the company's own liability at ₹2,500 a year, due on or before 31 March. PTRC covers what it deducts from salaries, at ₹200 a month with ₹300 in February. Both run on mahagst.gov.in. A Maharashtra GSTIN opens with state code 27, and the officer who reads your application is allotted by pincode across the six nodal divisions the department runs for Pune. The Shops and Establishments filing goes online to the state Labour Department's Facilitator.
Not all of those need a Class 3 token in every case. They do tend to arrive together in a new company's first quarter, which is the argument for getting the signature sorted early.
Who is applying for a DSC in Pune right now?
- A SaaS founder in Hinjawadi who needs a certificate for every subscriber before the incorporation forms can go in
- The same founder a year later, signing annual forms that reach ROC Pune on a certificate that has to still be live
- An engineering and machining unit in Bhosari that exports, signing DGFT applications and monthly GST returns
- A consultant in Baner whose income tax audit report will not upload without a valid signature attached to it
- A director in Kharadi whose certificate expires three weeks before a due date, who wants the renewal done now
Why bring the certificate to LegalX India in Pune?
Our Pune office is at Yashwant Nagar, Near Bharatiya Samajseva, Yerwada, Pune 411006, and the application itself runs online from wherever you sit. Come in if you would rather do it across a table. What you are buying is a CA or CS who has watched video verification fail for small reasons. That means a name check before submission, a script for the call, and a test signature on the portal you actually file on. For how the certificate works as an instrument, read the national Digital Signature Certificate guide. Then tell us which portal you file on and by when, and we will quote the number of certificates you need rather than one price stretched over three directors. Ask for a callback within 30 minutes if the deadline is this week.
