Every October our Mumbai desk takes the same call. A director tries to sign a company filing and the portal rejects it, because the DIN behind the signature was deactivated on 1 October. The mistake happened quietly weeks earlier. The director assumed the company secretary's annual bundle, AOC-4, MGT-7 and the rest, covered personal KYC. It does not. DIR-3 KYC attaches to you, not to any company you direct, and it falls due every year you hold the number. Done on time, DIR-3 KYC filing in Mumbai costs ₹999 and takes 1 to 2 days. Done late, it costs ₹5,000 in government fees and a frozen signature in between.
What is due from a Mumbai director, and by when?
The rule is short. If your DIN existed on 31 March, its KYC falls due by 30 September of the same year. It makes no difference whether the DIN sits in a trading Powai startup, a dormant company or no company at all. Here is the whole penalty picture in one table.
| Your position on 30 September | What gets filed | What it costs |
|---|---|---|
| Details unchanged from last year | DIR-3 KYC Web, a short OTP confirmation | ₹999 with us, no government fee |
| Mobile, email or address changed | Full DIR-3 KYC e-form with DSC | ₹999, no government fee |
| Deadline missed, DIN deactivated | Full e-form plus reactivation | ₹5,000 government fee plus ₹999 |
| DIN allotted after 31 March this year | Nothing yet, first KYC next September | Nil |
Two versions exist for a reason. The web confirmation is a few minutes of OTP work when nothing on your record changed. The full e-form exists for changed details and carries your DSC. Filing the wrong one is the most common self service error, and it wastes exactly the week when the portal is slowest. The statutory background and the national picture sit in our complete DIR-3 KYC Filing guide for India. This page stays on the Mumbai mechanics.
Which registrar receives your KYC filing?
Honestly, neither of them. DIR-3 KYC goes to the MCA V3 portal and is processed centrally, so there is no local routing question for the KYC itself. The registrar geography matters one step downstream. Since 16 February 2026, company work in this corner of Maharashtra splits between two offices. A registered office inside Greater Mumbai, which means exactly the two districts of Mumbai City and Mumbai Suburban, files with ROC Mumbai-I. An office anywhere else in the wider region, including Navi Mumbai, Thane, Kalyan, Bhiwandi, Vasai Virar, Mira Bhayandar and Panvel, files with ROC Mumbai-II at Navi Mumbai. Every form either registrar receives from your companies needs an active DIN behind the signature. Your KYC is what keeps that pen working, whichever office reads the page.
What does a missed KYC actually cost?
The visible number is ₹5,000, five times the price of filing on time. The invisible costs bite harder. A deactivated DIN cannot sign any e-form, so the annual accounts, a director appointment and a charge filing for a bank all wait. In a two director company the entire load shifts to the other signature, and if that DIN also lapsed, which happens often when both directors relied on the same accountant, the company simply cannot file. Lenders and tender desks routinely pull director status from the MCA record before a sanction, and a deactivated DIN reads badly even after it is fixed. There is a quieter cost too. The ₹5,000 applies to each late DIN separately, so a family board of three that ignored September owes ₹15,000 before a single overdue account moves. Reactivation is not instant either. The corrected form has to be prepared, paid and processed while your transaction waits.
Which Mumbai directors does this bite hardest?
- Warehousing and logistics operators around Bhiwandi. Group structures are the norm here, a transport company, a warehouse entity, a packing unit, and promoters assume the group accountant tracks every DIN. Each director files individually, and the gap usually surfaces when an e-form bounces mid season.
- Family businesses modernising at Kalbadevi. When a textile partnership becomes a private limited company, two or three family members take DINs together. The Maharashtra CIN with its MH state code is months old, and nobody warns the new directors that a personal filing already falls due the first September.
- Consultants and investors around BKC and Nariman Point holding a DIN from a venture that never launched. An unused DIN still owes KYC every year, and these are the deactivations people discover years later, in the middle of a due diligence.
- Directors who shifted home across the region, say Powai to Thane, with a new mobile number. The obligation is unchanged, but the web shortcut closes once any recorded detail changes, and the full form applies.
How we run the filing from our side
- We check your DIN status and the last KYC date on MCA V3 before anything else, because a deactivated DIN changes both the form and the fee.
- We confirm the version. Unchanged details mean the short web confirmation. Any change in mobile, email or address means the full e-form.
- We prepare the form against your PAN, Aadhaar and address proof, coordinate the OTPs that land on your personal mobile and email, and attach your DSC. If you do not hold a current DSC, we arrange one alongside.
- We submit, send you the acknowledgment the same day, and recheck the record until it reflects the filing with your DIN active.
- We diarise your DIN for next August, ahead of the September crowd, so the renewal never depends on memory.
What do we need from you?
- PAN card and Aadhaar card.
- A mobile number and email address that belong to you alone. The portal links them to your DIN, and a shared family inbox or the company reception line at Fort causes OTP failures at the worst moment.
- Current address proof.
- Your DSC, or a short window to make one with us.
- Passport, only if you are a foreign citizen.
Keep the phone in hand while we file. Both OTPs arrive during submission and expire quickly, and the filing completes in one sitting when they are entered promptly.
