Three years of audited accounts. Twelve months of bank statements. One page saying what you want and how it gets repaid. A business loan file is mostly arithmetic that has to agree with itself, and in Kolkata it also has to agree with the registrations that prove the business is real at its address. Loan documents preparation is the work of assembling all of it, in the order a lender reads it, before the application is made.
Do you need loan documents preparation in Kolkata?
Yes, if any of these is true:
- You are applying for a term loan or a working capital limit and have never assembled a bank file before
- Your last application came back with queries about the projections or the turnover
- You are a first year startup in Salt Lake Sector V leaning on projections and a collateral free guarantee rather than security
- You are a tea exporter in Dalhousie whose inward remittances have to be tied to the invoices behind them
- You are a Howrah engineering unit borrowing for machinery, and the projections have to show the new capacity paying for itself
- You want to compare two lenders and need one pack that serves both
The bank decides on the file. Preparing it well is the only part of the process you control.
How does a loan file work for a Kolkata business?
A credit desk reads in a fixed order, and the file should match it:
- Who you are: entity documents, promoter and guarantor KYC, credit history and the registrations that prove a compliant business at a Kolkata address.
- What you have done: three years of audited financials where they exist, the current year's provisional figures, GST and income tax returns, and a year of bank statements that agree with all of it.
- What you will do: projections on the lender's own template, tying back to the audited figures and the turnover you have declared in GST, with every assumption written down.
- What secures it: the premises, collateral where you are offering it, and the guarantee scheme where the unit qualifies.
- What you want: the amount, the purpose, the tenure and the repayment source, on a one page covering summary.
We build the file in that order with an index, so the banker's first question is about the business rather than about a missing page.
Which registrations do Kolkata banks check?
More than applicants expect, and the local ones are the ones that lapse:
- GST registration and returns, filed up to date, with the GSTIN beginning 19 matching the name and address on the file
- Income tax returns and Form 26AS
- Udyam registration, which is what any MSME scheme is keyed to
- West Bengal profession tax registration, which shows an active employer
- The Certificate of Enlistment from KMC, or the Bidhannagar, NKDA or Howrah equivalent, which shows a licensed premises
- Incorporation documents and the latest annual filings with ROC West Bengal for a company or LLP
A lapsed municipal license or a missed profession tax renewal is the sort of thing that becomes a written query at the worst moment. We verify each one is current before the file goes in.
Udyam opens two separate doors. The central one is CGTMSE, the credit guarantee scheme that lets a bank lend to a micro or small enterprise without collateral, against a guarantee from the trust rather than your property. The state one is Banglashree, West Bengal's own scheme of capital and interest subsidies with state GST reimbursement. A Kolkata unit applies for it through the Shilpa Sathi single window while the bank file sits with the branch, and the MSME Development and Facilitation Office in Kolkata runs the facilitation. Neither replaces the loan file, and both want the same financials, so we prepare them once.
What will loan documents preparation cost you?
Our fee starts at ₹1,499 for a standard working capital or term loan file: the financials, the projections, the reconciliation of returns to the books, the KYC pack, the registration proofs and an indexed cover. A detailed project report or CMA data, which larger limits usually need, is quoted separately once we have seen the bank's checklist. Processing fees, valuation charges and any legal or search report the lender orders are the bank's own charges, billed to you directly.
What documents are needed from you?
- PAN and Aadhaar of promoters, directors, partners and guarantors
- Incorporation certificate, partnership deed or LLP agreement
- Audited financials for the last 3 years and the current year's trial balance
- GST returns and income tax returns for the same period
- 12 months of bank statements for every business account
- Lease or ownership proof of the Kolkata premises, with a utility bill
- Existing sanction letters and repayment schedules for loans already running
Which dates matter for a Kolkata loan file?
Your registrations have due dates of their own, and a banker reads them as a proxy for how the business is run. Five dates decide whether the file goes in clean:
| What the bank checks | When it falls due | If it has lapsed |
|---|---|---|
| Profession tax deducted from salaries | Deposited by the 21st of the following month | A gap in the challans against the salary ledger the banker is reading |
| Profession tax annual return | Filed for the year in Form III | The employer registration reads as dormant |
| Profession tax enrolment | Paid by 31 July each year | An open demand sits against the business or the proprietor |
| Quarterly GSTR-3B under QRMP | The 24th after the quarter ends for West Bengal | Turnover in the file cannot be matched to the portal |
| Certificate of Enlistment in KMC areas | Renewed every year on kmcgov.in | The premises proof in the file is out of date |
Provisional financials go stale as well. If the file sits with the branch past a quarter end, plan to refresh them, and the projections along with them.
How does West Bengal profession tax fit into a loan file?
Quietly, and then suddenly. A Kolkata banker reads the profession tax registration as proof that the business actually employs the staff its salary ledger shows. A lapsed registration, or an enrolment never obtained, raises the question of what else has lapsed. Because we run profession tax and payroll for employers across the city, the registration and the latest deposit sit in the file as a matter of course, with the salary ledger they reconcile to.
The same discipline applies to the municipal license. A Bowbazar family business whose enlistment expired two years ago answers a query before the credit desk reaches its numbers. Inside KMC limits that license is the Certificate of Enlistment, renewed each year. A Salt Lake or New Town address is licensed by Bidhannagar Municipal Corporation or NKDA instead, and what the file needs is whichever one covers your premises.
