The detail that decides a DIR-3 KYC filing is the mobile number and the email address sitting against your DIN. Both have to be yours and nobody else's. MCA sends a separate one time password to each of them, and a number the office manager or a fellow director also uses will not clear that check. So we ask for those two first, ahead of the PAN, ahead of the DSC, ahead of everything. What follows is mechanical once they are settled.
Does DIR-3 KYC apply to you, and for which financial year?
It attaches to you personally and not to your company. If a DIN stood allotted in your name on 31 March, you owe a KYC for that financial year and the last date is the 30 September that follows. Holding no board seat changes nothing. A dormant entity, a resignation in April, a DIN taken years ago and never used: every one of them still files.
Two routes exist and picking wrong wastes a fee. The full eForm is for a first filing and for any year where something on the record has moved, such as a new mobile number, a changed residential address or a renewed passport. The web based route suits a director whose record reads exactly as it was left last year. We check which of the two fits before we open anything.
One quiet trap catches new directors. A DIN allotted in November is already on the register on the following 31 March, so its first KYC falls due that same September, roughly ten months after the DIN was issued.
What do we need from you before the due date?
The list is short and none of it is hard to find:
- Your DIN, and the DSC registered in your own name against it
- PAN and Aadhaar, read exactly as they appear on the MCA record
- A personal mobile number and a personal email that no other director uses
- Current residential address proof, plus your passport if you hold a foreign one
- The expiry date on your DSC, because a lapsed certificate stops the filing dead
The DSC is where most delays actually start. Renewing one takes its own day or two, and September is the month every certifying agency is busiest. A family manufacturing business in Pimpri that converted from a partnership tends to hold four fresh DINs with four DSCs bought on a single afternoon, which means four certificates expiring in the same week two years later.

Read the third column again. The company carries no due date here at all, and that is exactly why the date gets missed: it never shows up on the entity's own compliance calendar, only on the individual's.

That ₹5,000 is charged per DIN and per person. It is not a company expense, no filing reduces it, and no professional can argue it down. For the Pimpri group with four directors, one forgotten September costs ₹20,000 before anybody has looked at the annual accounts.

Where does the filing land, and who looks at it afterwards?
DIR-3 KYC is a central filing. It is submitted on the MCA portal, processed on MCA V3, and there is no counter anywhere in Pune where it is lodged or collected. Nobody visits an office for this one.
What is local is the office that lives with the consequences. Your registered office address is what fixes the registrar, and a Pune address points at ROC Pune, before the February 2026 restructuring and after it alike. On 16 February 2026 Maharashtra went from two registrars to four, but the split ran through the old ROC Mumbai and left ROC Pune where it stood. No Pune company was asked to do anything about it. Pune and the surrounding districts stay with ROC Pune, and we still check that mapping against your exact address before we file. The CIN is untouched as well, since the Maharashtra state code it carries answers to the state and not to any registrar.
A dead DIN is felt at ROC Pune rather than at MCA. AOC-4, MGT-7 and any DIR-12 for the Kothrud OPC or the Pimpri group simply sit there waiting for a signature the portal refuses to accept. Escalations above the registrar go to the Regional Director, Western Region Directorate II at Navi Mumbai, and a company law petition from a Pune company is heard by the NCLT Mumbai Bench.
