Three entity forms can take an NGO Darpan ID and nothing else can: a society registered under the Societies Registration Act 1860, a public charitable trust, and a Section 8 company. An unregistered collective, a residents' group or a working partnership doing social work in Pune cannot apply, however real the work is. In Maharashtra the eligibility line sits one step further back than most founders expect. Section 2(13) of the Maharashtra Public Trusts Act 1950 treats a charitable society as a public trust as well. A Pune society that stopped at its 1860 Act registration is therefore only half on the record. Settle the entity record, then file the Darpan application.
Which registration has to be settled before the Darpan profile?
A Darpan profile is built on top of an organisation that already exists on paper. The first question is therefore which of the three forms your Pune organisation holds, and whether that record is complete.
A public trust registers under section 18 of the Maharashtra Public Trusts Act 1950. A trust created after the Act came into force must apply for registration within three months of its creation. That application goes to the Deputy or Assistant Charity Commissioner of the region or sub region, which is the detail most guides get wrong. A charitable society carries both positions at once, so it needs the Societies Registration Act entry and the public trust entry. A Section 8 company sits elsewhere entirely: it is incorporated on the MCA portal, ROC Pune is the registrar that holds the file, and its CIN carries the state code MH.
What paperwork does a Pune organisation hand over?
Darpan asks for a short and unforgiving set of papers, and every one of them has to agree with every other.
- The registration certificate of the trust, society or Section 8 company, in the exact name printed on it
- PAN of the organisation, with PAN and Aadhaar details for each trustee, member or director you list
- The trust deed, or the memorandum and rules, or the memorandum and articles, depending on the form
- Bank account details in the organisation's own name and never in a founder's personal account
Two Pune points sit behind that list. Your own address picks the counter for a trust deed: inside Pune City the Haveli sub registrar network runs as series 1 to 27, while Pune Rural adds 22 further offices. The deed reaches whichever of those serves you only after stamping under the Maharashtra Stamp Act 1958, with duty paid through GRAS. Section 18(6), amended in 2025, adds one more paper. Proof of ownership over the trust's immovable property, or of an interest in it, now travels with the registration application.

From document check to unique ID, in five moves
- Your certificate, deed and organisation PAN are read side by side, and the name, the address and the trustee list have to agree across all three. Mismatches are what the portal rejects.
- An account is opened and verified on the NITI Aayog Darpan portal under your organisation's own name, on the mobile number and email of an office bearer.
- Sector, area of work, office bearer particulars and bank details go into the profile, and every document is uploaded in the format the portal will take.
- Submission follows. We track the file, answer whatever the portal asks, and on a clean record the unique ID lands in 3 to 5 working days.
- The ID and the login come to you with a dated list of the Maharashtra filings your organisation has to keep current afterwards.
Which office holds your Pune record once the ID is issued?
Nothing in the Darpan application itself is local. Filing happens online on the NITI Aayog portal and review happens centrally, so an address in Aundh, one in Camp and one out in Chinchwad take an identical route. Founders assume this is the step that needs a visit, which is why it is worth stating plainly.
What stays local is the record the profile points back to. Trusts and charitable societies in Pune are held by the Public Trusts Registration Office, Pune. Maharashtra runs ten Joint Charity Commissioner regions and that is one of them, with Ahilyanagar, Satara and Solapur reporting into it. The portal is charity.maharashtra.gov.in. ROC Pune keeps the file of a Section 8 company. Section 22 allows ninety days to report a trustee change, and correcting the profile in the same week keeps the two records from disagreeing.
What does a newly listed Pune NGO owe in its first months?
Maharashtra puts filings in front of an NGO that a national guide will not mention.
Profession tax comes first. Schedule I opens a separate entry for a Maharashtra company, for an LLP, for a GST registered person, and for an employer of an establishment with more than two employees. Whichever entry catches you, PTEC is ₹2,500 a year, and section 8(2) sets 31 March as its annual date. PTEC sits on the organisation. PTRC is the other half, the employer registration under which ₹200 comes out of a salaried employee each month and ₹300 in February. Under section 5(3A) a Section 8 company takes both at incorporation.
Then the office itself. Read the definition of establishment in the Maharashtra Shops and Establishments Act 2017 and you find a charitable or other trust named in it, alongside any society holding an 1860 Act registration. A Pune NGO office is therefore squarely covered. Filing runs online to the Facilitator of the local area, who issues the certificate with a Labour Identification Number, and rule 4 of the 2018 Rules prescribes no fee at all. From 1 October 2025 the threshold moved to twenty workers, and an establishment under that line gives an intimation rather than a registration. We confirm which side of it you fall on before we file. You choose how long the certificate should run, ten years being the outer limit, and renewal is applied for no later than thirty days ahead of expiry.
Separately, 12A and 80G approvals are their own filings and the unique ID does not stand in for either. Keep the profile current with annual reports and office bearer changes, because a stale listing is what a ministry sees.

- A public trust founder in Camp running a school meals programme, told by a ministry portal that the grant form will not open without a unique Darpan ID
- A charitable society whose 1860 Act registration was completed years ago and whose public trust side never was, discovered when the profile asked for the registration particulars
- A wholesale trading family near Budhwar Peth, in the Camp area, that funds a family trust and now wants CSR donors to see a live government profile
